Generate reports on an automated timer, and have the emailed to you.



You can schedule reports to run on preset dates and times.  That means you can get automated reports at regular time intervals by simply setting up the reports once.  You choose the recurrence schedule for each report and sit back and wait for your reports to arrive.  They can arrive by email or in a specified folder on your file server.  A report scheduler watches for your scheduled times and produces the report.  The results are saved to a file and optionally emailed to you.  Simple!

To begin, choose Reports, Scheduled Reports.  If you don’t have any reports set up, you’ll get a message telling you how to begin.  The steps are simple: just right-click on a report and choose Schedule reports.  Follow the dialog boxes and you’ll schedule your first report.  The detailed instructions are below.


1. Open the Reports section at the left side of the main window

Scheduling reports only works with the report tree on the left, and only on the Windows Edition of the program.  It does not work on the main reports menu at the top of the window.  When you right-click on any report you will see a popup menu.


2. Right-click on the report you want to schedule and choose Schedule Report

Right-clicking on any report shows the popup menu.  Just choose Schedule Report.


3. Choose the “Save As Type” and set the file name

After choosing this menu, a “Save As” dialog will appear.  The program is asking where you want the final results of the automated report generator.  I.e. when the report scheduler runs, it will export the file to this location.  The automated report generator will also save the file in the format you want.  Normally this is CSV or RTF.  But there are other choices available to you.


4. Choose the report filtering you want and click OK

The automated report generator will also apply the filtering you choose here.  Simply click the tabs and then make your filter choices.  When the report is run from the scheduler, it will use these same filtering choices.  For instance, you could choose “Last month” to get a report of all timesheet activity from last month.


5. Fill out the properties for your newly scheduled report and click OK

Finally, the Report Schedules dialog appears.  At this point in time, your report has been saved and scheduled.  But you can choose exactly when the report should be run from the Recurrence field.  You can click the “…” button to make detailed recurrence choices.


6. Choose Reports, Scheduled Reports to view or edit properties in the future

At any point in time, you can go back to these report scheduler property by choosing Reports, Scheduled Reports.  Simply click on a report and the properties are displayed at the right.
